Events with alcohol

Prior management approval must be obtained. The approval is contingent on a number of factors, including the audience, the menu, and the duration. Alcohol is only approved under exceptional circumstances. The hosting manager must remain on the premises throughout the event. The hosting manager must ensure that all alcohol is provided by Eurest Dining, that no other alcohol is brought onto the site, and that no alcoholic is removed from the site. The hosting manager should remain during the entire event and monitor alcohol consumption. If necessary, transportation should be provided for any employee who is unable to drive.

Approval Policy

When you submit a food service request, it is assumed management authorization has been obtained. The manager to charge is advised when a request is submitted/updated and has the opportunity to cancel the request. The requester and billing info has been obtained from your last request please verify this information before submitting this request.

IBM RTP Site Alcohol Policy

The following rules apply to IBM events only and occurring on or off IBM premises.

1. IBM will only permit alcohol to be served at a significant customer, employee recognition or social event. Employees must be notified that attendance is voluntary.

2. Required approvals: The IBM manager who wishes to have alcohol served at an IBM event must submit the completed Alcohol Request Form via the Food Service database at least 14 days prior to the event. The request will be routed to the Site Human Resources Manager for approval, Eurest Contract Management (Stephne Turner) and the Global Real Estate Operations Manager (or their Delegates) GRE Space Planner for their review to determine whether it is appropriate to serve alcohol at a proposed event. Without these approvals, alcohol will not be served.

3. Following receipt of the required approvals the IBM Host Manager must be present from the start of the event until its conclusion, and must make the necessary arrangements to ensure that:

  • The only alcohol available at the event is beer and wine. The event must include a provision for food and nonalcoholic beverages.

  • If the event will occur on Site, only the Site’s food service vendor makes the beer/wine available.

  • The service of beer/wine is limited in duration, generally not more than two hours. Itis also limited to the location of the event. On-Site alcohol consumption can only takeplace in non-work areas, i.e., cafeterias, Employee Activity Fitness Center, Executive Briefing Centers, etc

  • The Site food service vendor will ensure that no one consumes more than 2 drinks by implementing the 2 tickets system.

  • The Site’s food-service vendor ensures the required number of certified and trained service personnel are present where beer/wine is served. Alcohol must not be self-serve and IBM employees/managers are not permitted to serve alcoholic beverages.

  • Employees are prohibited from returning to the workplace after consuming beer/wine. If an employee appears intoxicated and needs to collect belongings in the work place, a “Monitor” (may include Host Manager, Managers, HR Partners or Site Security personnel) must accompany the employee.

  • The servers promptly discontinue making beer/wine available to any person who appears intoxicated and alert a Monitor. The Monitors will promptly address the situation with the employee, secure and pay for a taxi or other transportation for the employee and remain with the employee until such transportation arrives. Other employees are not to be solicited to provide transportation.

  • Neither beer/wine is served to minors. The Host Manager must determine whether college co-op students or other underage employees will attend the event, and if so, is required to implement safeguards to ensure those persons do not consume beer/wine at the event.

  • No beer/wine will be served to non-IBM employees, with the exception of customers and spouses/partners that are invited guests of the event.

  • Event attendees do not bring alcohol to the event or remove alcohol from the event.

  • 4. The Host Manager may retain the assistance of other managers to ensure compliance with the requirements of this policy. These Monitors should be placed at each entry/exit to the event location to ensure only invited guests participate and be prepared to handle any issues involving too much consumption of alcohol. Additional Monitors, (based on number of attendees), should also be in the event room. The Host Manager is responsible for coordinating a brief session outlining responsibility guidelines for the designated Monitors at the event.

    5. IBM’s rules regarding alcohol and intoxication in the workplace continue to apply.

    6. Communications and photos regarding the event should not include alcoholic beverages.
